Medical & Scientfic Relations Liaison Specialist

General Summary

Serve as a liaison to internal divisions such as, but not limited to, Relationship Development and Association Chapters for coordination of all requests for MedSci Staff, MSAC, and awardee activities including but not limited to the following: donor visits, speaking engagements; lab tours; special events; conference calls with prospective donors, letters to donors, and special reports.  Effectively communicate information and outcomes of grants program to internal staff, external constituents, and lay individuals as needed.  Manage grants database system, relationship and contract with database system, science writer relationships, and vendor relationships.  Engage with Development to identify strategies for improvement. Have excellent writing and communications skills. Create materials and resources for Development and Chapters related to research initiatives.

Essential Job Functions

Report Translations

-Manage relationship with science writer coordinator to assure overall system for abstract & science report translation.

-All interim and final reports of sponsored grants are translated according to a pre-determined due dates

-Maintain tracking system of sponsored reports and their due dates

-Coordinate translation of all awarded abstracts for each grant cycle (twice a year)

   - Conduct first round of edits on all translated reports

   - Coordinate  review of translations  with Association scientists and then uploads to ProposalCentral

   - Make suggested changes to report, or send to science writer for extensive editing.

-Coordinate the development of special reports and summary pieces as needed

Database Management / ProposalCentral

-Oversee, monitor and input information into the web based data sharing system, ProposalCentral, which houses abstracts, and scientific reports accessed by Development.

-Each grant cycle (twice a year) and as needed, oversee the posting of new awardee information onto the PC database by the external vendor, and check for accuracy and completeness.

-Post final and interim reports of active grants on PC website for translation by the science writers.

Development/Grants Meeting

-Coordinate bi-yearly meeting with Development, Relationship Development, and MedSci to introduce new grant awards, and coordinate all necessary materials and posting arrangements.

-Coordinate and compile a report of all funded applications for the development of overview pieces about awardees and trends.

-Work with science writer to update information on internet and intranet as needed.

-Add: Each grant cycle, create overview documents organized by research categories and an overall portfolio profile of awards

MedSci/Development/Chapter Liaison

-Create opportunities to write and improve creative briefs provided to Development and Chapters advertising science initiatives and awards.

-Communicate information on new grant awards and outcomes of grants program to Development and Chapter staff within an organized and timely manner.

-Work with Relationship Development and Chapter Relations to identify new strategies and needs and create materials to implement these actions accordingly.

-Participate in monthly Development Director's call.

-Serve as a conduit between Direct Marketing and MedSci for review and approval of the following materials: monthly letters, newsletters, and direct marketing campaigns.

-Post information to Insite and update as needed for access by Association employees

• Grant award information (twice yearly), bi-monthly Journal Updates, links to ProposalCentral and Med Sci request form

MedSci Requests

-Manage systems for requests of Med Sci staff and funded researchers for donor visits, chapter events, etc.

-Develop and maintain web based request form

-Continually receive feedback and seek ways to improve request form content and ease of access

-Maintain calendar of all MedSci travel to share with Development to help coordinate requests

-Maintain spreadsheet for tracking all travel, teleconference, and grant/science information requests from Development and Chapters

MedSci/National Organization Outreach Coordinator

-Coordinate MedSci representation and presentations to National Organization departmental calls including Executive Directors, Development Directors, Communication Directors, etc.

-Work with MedSci Director of Operations to ensure optimal updates from MedSci to the National Organization.

Minimum Requirements

  • Undergraduate degree, with a preference in health/biological science
  • Knowledge of general scientific terminology
  • Experience in project management and tracking
  • Experience working independently as well as in a team setting
  • Proficiency in Microsoft office and database management
  • Experience in working with external customers
