The Sr Administrative Assistant will assist the Senior Director and National Chapters Operations Team with the overall planning for and daily operations of the National Chapters. This position is located in Chicago office.
Essential Job Functions
Development - Assist with creating, scheduling, and sending Convio emails in support of event recruitment, fundraising, and retention. - Provide Convio support/troubleshooting to the National Chapter staff and their constituents. - Keep an updated list of all National Chapter events.
Donor Services - Be the liaison between National Chapter staff and Donor Services including Direct Mail. Processors (DMP). Work with the chapter to resolve any issues that come up. - Work with Donor Services to ensure event sponsorships are being entered into Convio properly and timely. - Weekly AP report
Community Health Charities - Assist the National Chapter staff with filling out all Community Health Charities and Combined Federal Campaign applications. Obtain the proper attachments, approvals, and signatures prior to mailing out.
Operations - Manage the logistics for all on and off-site National Chapter meetings and teleconferences. - Be the main point person for the National Chapter staff; respond to and help resolve questions. - Take notes for department meetings, draft, disseminate, and maintain minutes and documents. - Coordinate travel arrangements for National Core Team staff. - Assist with getting check requests approved and turned into Account Payable each week. - Assist with moving contracts through the legal department. - Receive all SDOLs and ensure proper approval and submission. - Maintain current National Chapter staff roster and Google Groups.
Programs/Services - Assist with Contact Center Personify follow-up as needed (i.e. fulfillment). - Additional support as needed
Training - Provide webinar and conference call training to the National Chapter staff including but not limited to Administrative, Cash Handling, Convio, and Donor Services.
High school diploma. Bachelor's degree preferred; 2-3 years nonprofit work or related experience preferred.

This position requires a high-level of computer literacy, and the ability to accurately maintain databases of various types.
